The Position:
In support of the Vision, Mission and Values of LutherCare Communities, and with funding from Canada Summer Jobs, we are seeking (3) Summer Administrative Assistants to join our team at Luther Special Care Home.
Start Date: To be determined in May/June, and will continue into the summer months.
This position is only available to youth who:
- are between the age of 15 and 30 years of age (inclusive) at the start of employment;
- are a Canadian Citizen, permanent resident, or person whom refugee protection has been conferred under the Immigration and Refugee Protection Act; and
- are legally entitled to work according to the relevant provincial/territorial legislation and regulations;
*International students are not eligible. Recent immigrants are eligible if they are Canadian Citizens or permanent residents.
The Applicant: This position will provide day-to-day support to Luther Special Care Home that include:
Front Desk & Customer Service Support
- Greet residents, family members, team members, and visitors in a warm, professional manner.
- Answer phone calls, take messages, and direct inquiries appropriately.
- Provide general information and assist residents with basic questions or requests.
Clerical & Office Tasks
- Perform data entry, update spreadsheets, and maintain accurate records.
- Assist with filing, scanning, photocopying, and organizing documents.
- Prepare simple correspondence, forms, or notices under supervision.
Program & Resident Support
- Help prepare materials for resident activities, meetings, or events.
- Assist in distributing newsletters, schedules, and communication materials.
- Update bulletin boards, communication boards, and information displays.
Scheduling & Coordination
- Support team members in booking meeting rooms, coordinating calendars, or arranging appointments.
- Assist with tracking attendance for activities or appointments when required.
- Help maintain sign-in logs for visitors, contractors, or vendors.
Data & Record Management
- Help maintain resident files, activity logs, or maintenance work records.
- Enter inventory data for supplies (office, cleaning, kitchen, or activity materials).
- Organize paper and digital records according to privacy and confidentiality guidelines.
Financial & Office Support (as permitted)
- Assist with small tasks such as collecting forms, receipts, or basic tracking of petty cash (non-financial decision-making).
- Support the preparation of simple reports by gathering information.
Communication Support
- Draft simple notices or announcements for residents and team members.
- Help with preparing email lists, updating contact information, or formatting documents.
- Assist in creating posters, sign-up sheets, or newsletters for activities.
Health & Safety Awareness
- Follow all privacy, confidentiality, and safety guidelines.
- Report any safety or facility concerns to the supervisor immediately.
- Keep reception and office areas clean, organized, and accessible.
Teamwork & Collaboration
- Work closely with administrative team members and managers as required.
- Provide support during special events, meetings, or community activities.
- Participate in training related to seniors’ communication, workplace safety, and customer service.
Applicants would typically have a grade 12 education. Enrollment in a post-secondary program is preferred, Must have sufficient practical experience to satisfactorily perform the duties of the position as outlined. Applicants must have good interpersonal skills, a strong work ethic and must be able to read, write, speak and understand English fluently.
