The Position:

In support of the Vision, Mission and Values of LutherCare Communities, and with funding from Canada Summer Jobs, we are seeking a professional, organized and self-motivated Human Resources Assistant to join our People & Culture team.

Start Date: To be determined in May/June, and will continue into the summer months.

This position is only available to youth who:

  • are between the age of 15 and 30 years of age (inclusive) at the start of employment;
  • are a Canadian Citizen, permanent resident, or person whom refugee protection has been conferred under the Immigration and Refugee Protection Act; and
  • are legally entitled to work according to the relevant provincial/territorial legislation and regulations.

*International students are not eligible. Recent immigrants are eligible if they are Canadian Citizens or permanent residents.

The Applicant: This position will provide day-to-day reporting to the Director of People & Culture.

Recruitment & Onboarding Support

  • Assist with posting job ads, screening basic applications, and organizing interview schedules.
  • Prepare interview packages, candidate lists, and required documentation.
  • Support onboarding by preparing welcome folders, collecting forms, and updating team member records.

Team Member File & Record Management

  • Organize, maintain, and update team member files (paper and digital) in accordance with confidentiality policies.
  • Enter team member information into HR systems or spreadsheets (training records, contact details, certifications).
  • Track expiry dates for required documents (TB tests, CPR, vulnerable sector checks) and help send reminders.

Training & Development Support

  • Assist with scheduling team member training sessions, workshops, or orientations.
  • Prepare sign-in sheets, certificates, and training materials.
  • Help maintain training logs and update completion records.

HR Administration & Clerical Duties

  • Support People & Culture team members with filing, scanning, photocopying, and organizing documents.
  • Draft simple HR correspondence such as memos, notices, or follow-up emails.
  • Assist in maintaining HR calendars, meeting notes, and departmental schedules.

Payroll & Attendance Assistance (clerical support only)

  • Help collect timesheets, verify signatures, and organize attendance records.
  • Enter simple data for payroll preparation (under supervision, no financial decision-making).
  • Support tracking of leaves, vacation requests, and schedule changes.

Team Member Engagement & Communication

  • Help prepare communication materials such as newsletters, posters, and HR updates.
  • Assist with organizing team member appreciation events or recognition initiatives.
  • Update bulletin boards and ensure HR information is current and accessible.

Policy & Compliance Support

  • Assist with organizing policy binders, updating document versions, and distributing revised policies.
  • Help maintain compliance checklists and track completion of mandatory training.
  • Support the People & Culture team in preparing documents for audits or inspections.

Confidentiality & Professional Conduct

  • Handle sensitive information discreetly and follow privacy protocols at all times.
  • Ensure HR office and documents are organized and secured appropriately.

Teamwork & Collaboration

  • Work closely with People & Culture Generalists, HR Manager, and other corporate office team members.
  • Attend meetings, take notes if requested, and help with administrative follow-up.
  • Provide general support for corporate projects and initiatives.

Applicants would typically have a grade 12 education and have a valid class 5 driver's license. Enrollment in a post-secondary program is preferred. Must have sufficient practical experience to satisfactorily perform the duties of the position as outlined. Applicants must have good interpersonal skills, a strong work ethic and must be able to read, write, speak and understand English fluently.
