Primary Focus:
The Administrative Assistant for the Group Homes service area plays a pivotal role in providing administrative support and facilitating effective communication between residents, visitors, and department team members. This position reports to the Director of Community Living and involves various administrative tasks including basic accounting, answering phones, and managing day-to-day operations within the service area.
Key Responsibilities:
- Support day-to-day flow of communication between residents, visitors, Team Members, and others
- Manage bookings and inquiries for the wheelchair bus and coordinate training
- Coordinate bookings for the respective Training Rooms
- Complete drivers abstract for Team Members within Group Homes upon request
- Prepare letters, forms, and business documents as required.
- Order and manage office supplies for the building and departments.
- Complete filing, attend meetings, and take minutes as needed.
- Support Group Homes with copying, filing and organizing of documents for accreditation certification
- Compile and distribute the Group Home Newsletter to families and stakeholders.
- Manage Petty Cash requests and reconciliation.
- Record team member training, oversee trust fund distribution, and manage visa invoices.
- Code, record, and seek approval for invoicing.
- Assist with various recruitment functions such as interviews, reference checks, and onboarding.
- Maintain accurate records related to invoicing and resident information.
- Oversee distribution of grocery vouchers and cash from resident trust funds
- Support metrics tracking, resident list database maintenance, and LCC communications distribution
- Assist with scheduling processes and contribute to monthly reporting.
- Abide by Policies and Procedure of LutherCare Communities
- Complete other job-related tasks as assigned
Qualifications
- Completion of recognized Administrative Assistant course or equivalent
- Minimum 2 years of experience in an administrative assistant capacity
- Experience working with seniors is an asset

- Proficient in word processing, spreadsheets, and accounting programs (Microsoft Word and Excel)

- Demonstrated ability to perform bookkeeping and administrative duties with a high degree of accuracy, efficiency and confidentiality
- Effectively manages time, and priorities while positively responding to multiple interruptions throughout the day in a fast paced environment

- Demonstrate a willingness to be flexible with hours of work and assigned duties
- Fluently able to read, write, speak and understand English
